To ship materials and/or equipment to the conference hotel from within Canada, you can use this shipping label. The hotel requests that you arrange for your shipment to arrive not earlier than one week in advance of the conference.
If you intend to ship materials and/or equipment to the conference from outside Canada, then you need to ensure that your shipment is accompanied by appropriate documentation for Canada Customs. Otherwise, your shipment is likely to be delayed or even returned to its point of origin.
We strongly recommend that you engage the services of a customs broker for the purpose of shipping materials and/or equipment into Canada. A customs broker will also help arrange the return of equipment and materials to the country of origin. The official customs broker for ISSC '08 is Livingston Event Logistics. Make sure to tell your customs broker that our conference has qualified for a government service called "Border to Show" which means that your shipment (if the documentation is correct) will be cleared by customs right in the hotel (instead of some warehouse miles away from the conference hotel). In effect, this service move the border to the conference hotel for the purposes of customs clearance for your shipment.
Custom brokers will charge for their services. Their fee is typically based on the value of the material and equipment contained in the shipment.
We also strongly suggest that you begin the process of preparing this documentation as early as possible. You can begin the process by completing the Canada Customs Invoice Form with details of your shipment, using this example. If you wish to engage our official customs broker, you should also complete a copy of the order form using this example as an example. You may also request a quote for shipment using another form.
